Can a University Answer Your Question? Add These Five Details First
An admissions opening, a curriculum question and a housing enquiry are different problems. Here is how to write a focused first email without sending private records.
Introduction
You find a department that appears to teach your subject. Its curriculum looks relevant—but that does not establish whether it is accepting applications through your intended route and intake.
Pusan National University directs applicants to the applicable semester’s recruitment list; programmes not recruiting are absent from that guide. Its FAQ also says Korean-proficiency requirements can vary by department and semester. These are PNU examples, not universal admission rules. See PNU undergraduate admissions and the admissions FAQ.
The useful first email does not ask a university to solve your whole application. It identifies one gap in information you have already checked.
Five details make the question answerable
Prepare five details before writing:
- Entry term: the semester and year you are considering.
- Programme: the official programme or recruitment-unit name.
- Applicant route: the institution’s own term, such as international first-year or transfer.
- Page and section: the guide title, URL and relevant page or heading.
- One unresolved point: exactly what you could not establish.
Choose a contact separately. A guide’s contact is a starting point for recruitment questions; a programme page may identify a curriculum contact; a housing page may identify its service contact. These are suggested routes to verify, not universal assignments of authority. Check the institution’s published responsibilities rather than guessing an email address.
1. From subject interest to a curriculum question
Hypothetical before: “Do you teach computer science?”
A department name, a course title and a required part of a degree are not interchangeable. Ask which published document answers the academic question.
Hypothetical after: “I am considering [official programme] through [route] for [entry term]. The curriculum at [URL/section] lists [course or subject]. Which document shows whether it is required or optional for that entry cohort?”
This asks about the programme’s structure. It does not assume that a listed course will run in a future term, that the programme is recruiting, or that you personally qualify. Recruitment is a separate question.
2. From “Can I apply?” to the intake’s scope
Hypothetical before: “Can I apply to your university?”
Without a programme, intake and route, the recipient cannot tell which published process you mean.
Hypothetical after: “Does [official programme] recruit through the international [first-year/transfer] route for [entry term]? I checked [guide/page] but could not find that combination. Is it listed under another recruitment-unit name?”
This requests clarification of the recruitment list, not a personal eligibility judgment or admission forecast. Compare the applicable requirements with your circumstances separately. If personal documents are needed later, first verify the institution’s official submission channel; do not attach passports, transcripts or application identifiers to an initial general enquiry.
3. From “Who handles housing?” to the right contact
Hypothetical before: “Who should I ask about housing?”
Hypothetical after: “For [entry term] applicants through [route], the section [heading] on [official housing URL] does not identify who handles [one procedural point]. Which published contact covers that question?”
This asks for routing. It does not assume accommodation eligibility, an available room or identical responsibilities across universities. If a contact’s published scope does not cover the question, ask for the relevant public page rather than sending the same private information to several offices.
A short bilingual email, with each placeholder doing a job
The following is a template, not an email that KUN sent or a university reply. Replace every bracketed item; keep one question.
Subject / 제목: [Entry term / 입학 학기] [Programme / 프로그램] [Route / 전형] — [Topic / 문의 항목]
English
Hello. I am considering [programme] through [route] for [entry term]. I checked [official URL, page/section], but could not confirm [one point]. Could you clarify the following?
[Write one complete question here.] If this falls outside your office’s published scope, please direct me to the relevant public contact page. Thank you.
The first sentence identifies the process; the source reference locates the gap; the last sentence allows redirection. None requires a passport number or private file.
Read any answer within its stated scope: clarification is not an admission offer. After checking the guide, what single fact do you still need the institution to clarify?
